When a prospective patient calls Apex Dental to inquire about becoming a patient, our team collects the necessary information to begin the new patient process. During this call, the patient is asked if they would like to receive their new patient paperwork via a secure link sent by SMS to their mobile phone.
The patient is informed:
- The SMS will contain a link to our secure online forms.
- Completing the forms before their first visit helps streamline check-in and improve their appointment experience.
- Standard messaging and data rates may apply.
If the patient agrees verbally during the call, the team member confirms the correct mobile phone number and sends the SMS immediately via our toll-free verified messaging number.

“We can text you a secure link to complete your new patient paperwork before your first visit. This helps speed up your check-in process. Standard messaging rates may apply. Would you like me to send that link to your cell phone now?”
Record of Consent
The verbal opt-in is documented in the patient’s record within our practice management system, noting:
- Date and time of call
- Name of staff member who obtained consent
- Patient’s mobile phone number used for the SMS
